About the team:
We manage end-to-end HR operational tasks globally, with our offices spanning across Europe and India. Our responsibilities cover all internal HR transactions within the organization, ensuring smooth execution and compliance across various processes, contributing significantly to the organization's efficiency and maintaining compliance.
We are looking for a HR Specialist with 3 to 5 years of experience to be based at our Mangalore office in India and to be part of our growth story.
As a HR Operations Specialist, you will play a key role in supporting the end-to-end employee lifecycle processes across multiple countries. You will manage HR transactions and service requests through ServiceNow, maintain data accuracy in HR systems, and provide timely and compliant support to employees and managers. This role requires a strong focus on operational excellence, confidentiality, and a service-oriented mindset.
Responsibilities:
Case Management & Support: Respond to global HR inquiries from employees and managers via ServiceNow. Monitor and manage service ticket queues and ensure timely resolution of cases
Employee Lifecycle Transactions: Handle pre-boarding formalities, onboarding, offboarding, job changes, and transfers. Maintain employee files (virtual and hardcopy) and track pending documents. Coordinate induction sessions for new joiners and interns. Enter, validate, or approve employee data updates in the HR system.
HR Documentation & Compliance: Create and issue legal and official employee documents such as offer letters, employment certificates, NDAs, and other formal communications. Maintain proper documentation and ensure secure archiving of employee records.
Employee Support & Engagement Administration: Conduct background and ex-employment verification checks, process joining bonuses, and maintain the employee referral tracker. Support VF2 visa applications for India-based employees travelling to Denmark, and assist with engagement activities such as onboarding kits and recognition programs.
Data Management & Reporting: Perform regular audits and data quality checks to ensure system accuracy and compliance. Prepare routine HR reports (e.g. joiner/leaver lists, recruitment trackers) for HRBPs and payroll. Proactively resolve discrepancies and improve data integrity across systems.
Learning Management system: Assist in the coordination and system updates of training and development program. Ensure employee learning records are accurately reflected and reported.
Must have Skills and Experience:
3-5 years of experience in core HR operations.
Working proficiency in written and spoken English, comfortable communicating with colleagues across countries.
Experience interacting with global stakeholders and supporting international HR operations.
Exposure to or hands-on experience with HRMS tools such as Talentsoft, Workday, Oracle, or similar.
Proficiency in Microsoft Excel and Word.
Experience in employee lifecycle management.
Ability to adapt quickly to changing processes and technologies.
Good to Have:
Familiarity with ServiceNow or a similar case/ticketing system.
Experience creating or maintaining HR process documentation.
Familiarity with generating HR reports (e.g., headcount, attrition).
Knowledge of HR legal and compliance requirements.
Exposure to internal and external HR audits.
